Free late payment letter templates for freelancers (3 escalating stages)

A client is late. Sending one angry email usually loses you both the money and the relationship. What works is a documented escalation: each message is calm, specific about the amount and the date, and slightly firmer than the last. Copy these, fill in the brackets, send one per stage, roughly 7 days apart.

Stage 1 — Reminder (1–3 days overdue)

Subject: Invoice [INV-001] — now due

Hi [NAME],

Quick note that invoice [INV-001] for [$AMOUNT] was due on [DUE DATE], and I haven't seen it come through yet. I've attached another copy for convenience.

If it's already scheduled, ignore this. If it's stuck somewhere in approvals, tell me who to chase and I'll take it off your plate.

Stage 2 — Firm notice (14+ days overdue)

Subject: Overdue: invoice [INV-001] — [$AMOUNT], [N] days past due

Hi [NAME],

Invoice [INV-001] for [$AMOUNT] is now [N] days past its [DUE DATE] due date. Under our agreement dated [DATE], overdue balances carry interest of [1.5]% per month, which begins accruing on [DATE].

I've paused further work on [PROJECT] until the balance is cleared. Please confirm a payment date by [DATE + 5 days].

Stage 3 — Final demand (30+ days overdue)

Subject: Final notice before collection — invoice [INV-001]

This is a final request for payment of [$AMOUNT], outstanding since [DUE DATE] and now [N] days overdue, plus [$INTEREST] accrued interest, for a total of [$TOTAL].

If full payment is not received by [DATE, 7 days out], I will refer this account to [a collections agency / small claims court] without further notice, and will seek recovery of costs and interest where the law allows.
